Acceptable Use Policy

This Acceptable Use Policy (AUP) applies to all users of the NoteSense platform and forms part of the NoteSense Terms of Use. By using NoteSense, you agree to comply with this policy.

1.  Purpose

NoteSense is designed exclusively for use by qualified allied health practitioners and their authorised support staff, to support clinical documentation and professional development. This policy sets out what the platform may and may not be used for.

2.  Permitted uses

  • Audio recording of clinical sessions with valid patient consent for the purpose of generating clinical notes
  • Post-session dictation to generate clinical notes without live recording
  • Use of the clinician quality monitoring feature where patient consent has been separately obtained
  • Administrative tasks within the platform such as account management and accessing generated notes
  • Reviewing and editing AI-generated clinical notes before transferring to your clinic management software

3.  Prohibited uses

You must not use NoteSense to:

  • Record any patient session without valid prior patient consent
  • Record sessions involving patients under 13 years of age
  • Record sessions involving patients aged 13–17 without written parental or guardian consent on file
  • Attempt to use the platform for any purpose other than clinical documentation and quality monitoring
  • Input or process data belonging to patients of a clinic for which you are not authorised to act
  • Attempt to reverse engineer, decompile, or extract the source code or AI models of the platform
  • Circumvent any technical controls including age-gating, data deletion, or access restrictions
  • Share your login credentials with any other person
  • Use the platform in any way that could constitute a data protection breach or violation of UK GDPR
  • Use the platform to record conversations without the knowledge of the other party, outside the clinical session context for which consent has been given
  • Represent NoteSense as a medical device, diagnostic tool, or source of clinical advice
  • Use the platform in a manner that could cause harm to a patient

4.  Clinical responsibility

NoteSense is an administrative tool. All clinical decisions — including assessment, diagnosis, treatment planning, and patient advice — remain entirely the responsibility of the treating practitioner. You must independently review and verify all AI-generated notes before entering them into a patient record. NoteSense does not provide clinical advice and must not be relied upon as a substitute for professional clinical judgement.

5.  Reporting misuse

If you become aware of any misuse of the NoteSense platform, or any use that may constitute a data protection breach or patient safety concern, you must notify us immediately at support@notesense.ai.

6.  Consequences of breach

Breach of this policy is a breach of the NoteSense Terms of Use and may result in immediate suspension or termination of your account. NoteSense reserves the right to report serious breaches to the ICO, relevant professional regulatory bodies, or other authorities as appropriate.

7.  Updates

We may update this policy from time to time. The current version is always available at notesense.ai/acceptable-use/. Continued use of the platform after any update constitutes acceptance.
